of the Current River
Churches’ Food Cupboard

1. Current River Churches refers to Calvin Presbyterian Church, Current River United Church, Elim Community Christian Centre, Epiphany Lutheran Church, Our Lady of Loretto Roman Catholic Church/St. Mark’s Chapel, Salem Evangelical Lutheran Church, and St. Stephen the Martyr Anglican Church.
2. The Current River Churches have established the Current River Churches’ Food Cupboard, which shall be referred to as the Food Cupboard. Its purpose is to assist those in need of food, primarily those from Current River.
3. The Food Cupboard Committee:
a. Oversees the operation of the Food Cupboard;
b. Supports the Food Cupboard Coordinator;
c. Sponsors education for member churches and the general public; and
d. Liases with the member churches to encourage support for the Food Cupboard.
4. Any funds the Committee receives will be used to purchase food and supplies for running the Food Cupboard.
5. The Food Cupboard Committee consists of:
a. two members duly appointed from each church;
b. one clergy appointed by the Current River Council of Churches; and
c. the Food Cupboard Coordinator, who shall be a non-voting member.
6. At the February meeting of the Committee each year, the Committee will:
a. Review the annual report;
b. Elect, from it’s members an executive: a Chair, Secretary and Treasurer; and
c. Appoint the Food Cupboard Coordinator for a two year term.
7. Other meetings will be called as required.
8. To call a meeting the Chair or an executive member must ensure that a notice in writing is sent to each member of the committee, which is received at least two weeks prior to the meeting.
9. Quorum for a meeting is 4 voting members, one person from each of 3 churches, and an executive member.
10. The Chair has the authority to poll all Committee members to receive votes on decisions that need to be made prior to the next scheduled Committee meeting. Said decisions would then be brought before the Committee at the next meeting for inclusion in the minutes.
11. The signing officers are the Chair, Secretary, Treasurer, and Food Cupboard Coordinator. Two signatures are required.
12. The fiscal year for the Food Cupboard is January 1 to December 31.
13. A 3rd party, appointed by the Food Cupboard Committee, will review annually the financial records for the previous year.
14. To add to, amend or rescind the constitution or by-laws, the amendment must be in writing and circulated with the notice of meeting.
By-laws of the Food Cupboard

1. The Food Cupboard Coordinator may transfer or exchange food with another Thunder Bay food bank.
2. It is desirable that the executive members be from different churches.
3. The Chair:
a. Prepares the agenda of the Committee meetings and chairs the meetings;
b. Reviews the duties annually with each of the Treasurer and Secretary, and with the Food Cupboard Coordinator, the ministry description;
c. Is the supervisor for the Food Cupboard Coordinator;
d. Is the secondary point of contact for problems with the Food Cupboard;
e. Is an official spokesperson for the Food Cupboard;
f. In the event the position of Food Cupboard Coordinator is vacant, is the Acting Coordinator until someone is appointed as Coordinator;
g. Ensures that someone is appointed to hold and update the Food Cupboard Constitution and Ministry Descriptions;
h. Ensures that someone is appointed to update the web page; and
i. Does any other task that is agreed to at a Committee meeting.
4. The Treasurer:
a. Is accountable to the Committee for the paying of authorized expenses and the accounting of the funds of the Food Cupboard;
b. Sends thank you letters for financial donations;
c. Ensures that certificates are issued to groups/businesses that make donations either financial or in kind;
d. Advises the Committee with respect to changes in policy for the handling of funds;
e. Prepares a Financial Report for each Committee meeting;
f. Under the direction of the Committee, has the books audited;
g. Prepares a Financial Report for the Annual meeting for the fiscal year;
h. Assists with the preparation of the Budget;
i. Maintains the financial files; and
j. Does any other task that is agreed to at a Committee meeting.
5. The Secretary:
a. Takes the minutes of the Committee’s meetings;
b. Distributes a copy to each member of the committee and to clergy from each Current River church; and
c. Does any other task that is agreed to at a Committee meeting.
6. The Food Cupboard Coordinator:
a. Is responsible to the Committee for the running of the Food Cupboard through the Chair;
b. Is the primary point of contact for problems with the Food Cupboard;
c. Is an official spokesperson for the Food Cupboard;
d. Is to submit a report to each meeting of the Committee; and
e. Does any other task as outlined in the Ministry Description and/or is agreed to at a Committee meeting.
